Adding a Shared Mailbox Calendar to Outlook

Hello there! Today we’re going to see how we can add a “Shared Mailbox Calendar” to our Outlook, so that we can use it with our Outlook connectors.

 

Let’s have a look at the case scenario!

 

We have many requirements where we need to use a Shared Calendar to manage all our events, allow participant registrations, meetings, webinars etc., But all of that is being done manually and we now want to automate the process of event creations, listing the upcoming events or allowing users to register to them. We have an Outlook connector which allows us to manage all our calendar events, but our Shared Mailbox Calendars are not visible in those connectors! To access them in the connector, we need to add the mailbox Calendars to our Outlook!

 

Now let’s jump straight into the process of adding the mailbox calendar into our Outlook.

 

  1. Open Outlook web on your browser – “outlook.office.com” – from right top, click on your profile picture and select “open another mailbox”
  2. Enter your shared mailbox address and hit “open”. This will open the shared mailbox in new tab
  3. Now select the calendar icon to access shared mailbox’s calendars
  4. Select the ellipses beside the default calendar and select “Sharing and Permissions”
  5. In the popup, enter your email and give the relevant access , “edit” if you’re creating or updating events else “View”, and then hit “Share”
  6. Now switch back to your previous tab, personal outlook inbox, you should find an email invite with option to accept the Calendar and add it to your outlook
  7. Now that the Calendar is added to your Outlook, you should be able to use the shared mailbox’s calendar in your flow!

Now you will be able to find the Shared mailbox calendar in all of your outlook event actions, based on the access level you have provided – you can read, create, update and delete events from the Shared mailbox calendar using the outlook connector.
